Printer says offline

“Offline” means Windows cannot currently use the selected printer. It does not by itself prove the printer is broken.

Before you start

Check the model name so you do not select a duplicate or old printer entry. Ask IT before changing a shared office printer.

Try these steps in order

Test after each step. If the problem is resolved, you can stop.

  1. Check the printer itself

    Wake it and resolve any paper, cover, or ink warning according to its manual.

  2. Check the connection type

    For Wi‑Fi, confirm the printer and PC use the same home network. For USB, check the cable connection.

  3. Restart the printer

    Turn it off, unplug power for 30 seconds, reconnect, and wait for it to become ready.

  4. Inspect the correct queue

    Open Settings → Bluetooth & devices → Printers & scanners. Select the intended printer and Open print queue. Cancel stuck jobs only if you can resend them.

  5. Try one test job

    Select that printer explicitly when printing. If it stays offline, run the printer troubleshooter in Windows Get Help.
